Calendar Syncing

Observation:

There are lots of things to love about the Redtail Calendar, but we understand it may not be every office's preferred calendar application. Thankfully we have options for syncing your Redtail Calendar with other calendar applications like Google Calendar and Microsoft Outlook.

Google Calendar Directions:

1. From within Redtail CRM , go to "Manage Your Integrations"

2. Scroll down until you see Retriever Cloud; click its Actions cog and choose "Settings"

3. Update your Integration Settings

Here is explanation of each of the settings:

  • Sync Contacts? Check off this option if you want to include Contacts as a part of your sync with Google. You'll then be able to click inside the box beneath that option to see a list of your Tag Groups in Redtail CRM and from this list you'll need to select the Tag Group you want to sync to Google. 
  • Sync Activities? Check off this option if you want to include Activities as a part of your sync with Google. You'll then be able to click inside the box beneath that option to see a list of your Activity Types in Redtail CRM and from this list you can select any number of those Activity Types you want to sync to Google. 
  • Sync Completed? Check off this option if you want to include Completed Activities as a part of your sync with Google.
  • Sync deletions into Redtail? Check off this option if you want deletions made in Google to sync over to Redtail.
  • Set an Activity Reminder? Choosing a time increment here will allow you to sync activities to Google with your selected reminder time (in minutes). If you leave this at "0", reminders won't be set or the calendar default will prevail.
  • Enable Google Sync button. Click to enable the sync process.

4. Click "Enable Google Sync" and sign in to your Google account

5. Authorize access

6. Open Google Calendar. On the left hand menu, you should see a calendar titled "Redtail" followed by the date of the sync. Feel free to rename the calendar and edit the settings to your preferences.

Contacts and Activities will begin to sync between the two systems. You can create and update Contacts and Activities in both Redtail CRM and in Google, and updated contacts/activities and newly created contacts/activities will sync in both directions.

Outlook 365 Directions:

1. From within Redtail CRM , go to "Manage Your Integrations"

Other Outlook + Exchange Accounts Directions:

There are many variations of exchange accounts and which one you are on will determine whether you will be able to sync your calendar with Redtail CRM. You can review your options by reviewing Retriever Cloud for Microsoft Exchange users. A popular workaround for Exchange accounts that do not sync is to sign up for a free Office 365 subscription with an outlook.com or hotmail.com address, just for calendar and contact syncing, as the free account won't be used for emailing. You can do this by going to office.com. Finally, another option may be to use our Retriever for Tailwag sync tool for Windows computers.
