General information about the integration

Black Diamond supports bi-directional integration with Redtail through their open API. Features of the integration include the abilities to connect to each platform seamlessly through single sign-on, send your Black Diamond accounts to Redtail, sync your Redtail contacts into Black Diamond, and post to the Black Diamond Relationship Timeline directly from Redtail.

 

Setup Bi-Directional SSO

FROM REDTAIL

1. Click on the Integrations Icon and select Black Diamond

2. Select Single Sign-On. If you are not already logged into Black Diamond, you will be prompted for your Username and Password.

FROM BLACK DIAMOND

1. Ensure you have added Redtail to your Connections Page

2. Click on Redtail to prompt the single sign-on.

 

Setup Data Pull from Black Diamond into Redtail

Complete the following steps to feed your reconciled portfolios, accounts, and holdings into Redtail

1. Create a new Black Diamond Firm User that has access to all accounts you wish to send to Redtail.

a. The user can be assigned to any Role.

b. Be sure to log in to Black Diamond with the new user once established to ensure it is fully set up.

2. Contact Redtail support at 800-206-5030 opt. 3 then opt. 2 or via email at support@redtailtechnology.com

a. Provide the new Firm User username and password, in order for Redtail to complete setup steps required on their end.

3. Portfolio, Account, and Holdings details are pulled from Black Diamond to display into Redtail.

 

Setup Contact Sync to Feed Redtail Contacts to Black Diamond

There are three options to sync contacts from Redtail to Black Diamond:

Option 1: Bulk load existing contacts from Redtail to create in Black Diamond

This workflow is recommended for existing users of Redtail who have many contacts already stored and created within Redtail and little to none created in Black Diamond. See more detailed instructions below.

Option 2: Create a new contact in Black Diamond from an existing Redtail contact

This workflow is recommended after the bulk load is complete when you are creating new contacts in Redtail ad-hoc, such as prospects that become new clients. See more detailed instructions below.

Option 3: Sync an existing Black Diamond contact with an existing Redtail contact

This workflow is recommended for users of Redtail that have many contacts in Redtail and many contacts in Black Diamond and need to link the two together. See more detailed instructions below.

Note: Before any of these steps can be completed, you must first save the Redtail token in Black Diamond. To do so:

1. In Black Diamond, click on your name in the upper right corner, and then click into your User Settings and Preferences.

2. Click Platform. Integrations will be near the top. There will be a space for Redtail Token. Note - this field is visible once the Redtail Data Sync feature is enabled in Black Diamond:

3. In another tab, log into Redtail and click your name to “Manage Your Integrations.” Find Black Diamond.

4. Click into the Settings on the Black Diamond widget and copy the entire Token (it will look something like this - 1X1X1x11-111X-1X11-1111X1XX1111). In the screenshot below, we've blurred much of an example token out:

5. Go back into your Black Diamond User Settings and Preferences, paste the Token, and click Save.

 

Bulk Load Existing Contacts from Redtail to Create in Black Diamond

1. Contact your Service Contact to enable the Redtail Data Sync feature.

2. Ensure you have saved the Redtail token in Black Diamond (see note above).

3. Advisor actions in Redtail:

a. Select the contacts that you want to export from Redtail on your Advanced Search page.

b. Click Contact Options > Exports and select BlackDiamond from the list:

c. This will download a black_diamond.csv document. No editing needs to be done with the file before sharing

4. Advisor actions in Black Diamond:

a. Create a folder and upload the .csv document to BD Share. Submit a Salesforce case for the bulk request.

Create a New Contact in Black Diamond from an Existing Redtail Contact

Note: Ensure the Redtail token is saved in Black Diamond.

1. From Black Diamond > Client Setup > Contacts, click New Redtail Contact.

a. Note: This field is visible once the Redtail Data Sync feature is enabled in Black Diamond.

2. Search for the Contact by First and/or Last Name.

3. From the list returned, select the contact to sync.

4. This will create a new contact in Black Diamond.

Sync an Existing Black Diamond Contact with an Existing Redtail Contact

Note: Ensure the Redtail token is saved in Black Diamond.

1. From Black Diamond > Client Setup > Contacts, select the Black Diamond contact you wish to sync. 2. Within Contacts > I WANT TO... select the "Sync with Redtail" link.

a. Note: This field is visible once the Redtail Data Sync feature is enabled in Black Diamond.

3. The First and Last name will pre-populate and the Search Results will also populate

4. Select the contact from the list, then Proceed to Sync Contact.

5. Confirm by clicking Proceed again. The contacts are now synced.

 

Post to a Client via Relationship Timeline from Redtail

1. From Redtail, click on the Integrations Icon and select Black Diamond.

2. Select Post to Timeline to open the Timeline Post Editor:

3. Select your audience, tags, title, and content, and post from the new window.

Q: What fields are pulled into Black Diamond from Redtail Contacts?

The following fields are currently synced with Redtail based on common mappings:

First Name

Middle Name

Last Name

Salutation

Suffix

Nickname

Date of Birth

Gender

Marital Status

Email addresses (up to 3)

Phone Number

Addresses

 

Q: The ticker for Meta Financial Group Inc. does not match between Black Diamond and Redtail systems

Meta Financial holds the industry ticker for CASH.

In Black Diamond, cash assets are denoted with a ticker of CASH (this logic pre-dates the inception of the Meta Financial Group asset). The Meta Financial asset is denoted with a ticker of $CASH.

These tickers are supplied in the Holdings data feed to Redtail, resulting in transposed holding values when the client holds positions in both assets.

In order to resolve, Redtail will automatically re-map these assets as follows:
