The following is a guide to setting up the Zimbra Connector for Outlook (ZCO) to connect to Redtail Email on the Zimbra platform using a MAPI connection. By default, the ZCO creates a new outlook profile called Zimbra, which is where you would generally set up the new account. In lieu of utilizing the newly created profile, this guide will walk you through adding a MAPI connection to an existing profile when utilizing Outlook 2010.
Note: This process will not work with Outlook 2003 and 2007 or a profile that houses an exchange account already.
Please be sure to review the Client Requirements prior to proceeding with the Setup Process to ensure that your version of Outlook is supported.
- For Outlook 2013 users: 32-bit and 64-bit are supported.
Supported Versions of Windows
- ZCO supports Windows XP with required updates, Vista, Windows 7, and Windows 8.
Some important notes to consider when preparing to install the ZCO are:
- ZCO installations working with older versions of Outlook require updating or reinstalling if Outlook is upgraded to Outlook 2013.
- If you are running the McAfee Security On-Delivery E-mail Scanner feature, the initial sync might be very slow. To speed up the process, turn off this option before installing ZCO and your initial synchronization.
- Before you begin the installing process, verify that you have the correct password for your Redtail-hosted Email account.
Close Microsoft Outlook completely on your computer.
Follow the instructions for the ZCO Connector for Outlook Setup Wizard:
Next, agree to the terms by selecting the top radio button. Then, click Next:
Confirm the installation by clicking Next:
As the MAPI Connector installs, you will see the following progress bar:
Click Close when the installation finishes:
When you initially install and run the ZCO software, a new profile is created in Outlook named Zimbra. Outlook automatically uses this new Zimbra profile as its default profile when you launch Outlook. In order to utilize the existing profile, you would need to remove the Zimbra Profile. Below, you will find the steps to remove the newly created profile:
To access Outlook Profiles:
Windows Vista & 7
Click Start then Control Panel
If in Category View, Select User Accounts and Family Safety then select Mail (32-bit)
If in Small or Large Icon view, select Mail (32-bit)
Click Start then Control Panel
Select User Accounts then select Mail
This will open the Mail Setup dialog box where you will select Show Profiles to access and manage your profiles:
After selecting Show Profiles, a Mail dialog box will appear:
To remove the Zimbra Profile:
Highlight the existing Zimbra profile within the Profiles dialog under The following profiles are set up on this computer: then select
After selecting to Remove the account, you will receive a notice that asks "Are you sure you want to remove this profile from the system?". Select Yes to remove the highlighted profile or select No to abort.
After removing the Zimbra profile, open Outlook. In your Outlook Toolbar, click File and select Account Settings from the menu:
You will then see your Account Settings dialog box. Make sure that you are on the E-mail tab. To add your Redtail hosted email account, you will select New:
You will then be prompted to choose a service within the Add New Account wizard. On this screen, you will select the radio button next to Other; then you will select Zimbra Collaboration Server from within the box below Connect to a server type shown below. Select Next to proceed to the next step of the setup.
After selecting Next, the Zimbra Server Configuration Settings wizard will appear. Here you will enter the following information:
Server Name: mapi.redtailtechnology.com
Check the box next to Use Secure Connection
Email Address: You will enter the full email address for the account you are configuring.
Password: - You will enter the email password for the account you are configuring.
After entering the above outlined information, you will select Apply to validate the account with the server followed by OK:
If the information entered is incorrect, you will receive the message below. Verify the server information and account credentials to ensure they were entered correctly. Select OK to make any changes and attempt to validate the account again.
Outlook will then save your information and begin the initial synchronization of your account with the server. The account will appear within the Navigation Pane on the left side of Outlook as Zimbra - [your name]. Please bear in mind that it may take some time to perform the initial sync (time can vary depending on size of the account). Also, if you do not want to see the Send/Receive dialog each time you sync, click the checkbox that states "Don't show this dialog box during Send/Receive," which is directly below the progress bar:
To make your initial synchronization faster, you can do the following:
If you are running McAfee® Security On-Delivery E-mail Scanner feature, the initial sync may be very slow. We recommend that this option be turned off for the initial sync with the Zimbra server.
If you previously accessed your Zimbra account using an IMAP account type or the webmail client, you may want to empty the Junk, Trash and Deleted/Deleted Items folders and delete or archive any older mail items. Accounts with larger mail folders take longer to sync.
If the sync fails to start automatically, press F9 to manually start the synchronization.
After the synchronization has completed, you can then drop and drag any data from existing accounts into the respective folders within your newly created account to sync that data to the mail server.
Note: The use of the forward and back slashes within folder names and other areas of Outlook can cause synchronization issues. You would want to remove all instances of them to avoid any issues.
