Advanced Search Field: Contact Category

To run an Advanced Search within Redtail, click Search under your Contacts menu:

You'll then see an area where you can set up the parameters for your Advanced Search:

The Field menu presents you with a list of all of the fields within Redtail that you can set up a search for here.  In this post, we'll take a look at the Contact Category field:

After selecting "Contact Category" from the Field menu, your next selection to make is the Operand you want to use with it.  Your available Operands are:

  • Begins With
  • Like
  • Equal To
  • Greater Than
  • Less Than
  • Not Equal To
  • Is Empty (NULL)

We'll show examples of the types of results you might expect from some of these, along with what you might enter in the Criteria box to get at your desired results.  

Begins With — If you've created multiple Contact Categories that begin in a similar fashion, using this Operand with the Contact Category field will allow you to pull up all contacts who have been assigned one of those Categories.  As an example, let's say you've created the following three Contact Categories within your database: A Client, AA Client and A+ -Platinum.  You could set up the following search to retrieve them all at once:

Your results might then look like the below:

Like —  If you've created multiple Contact Categories that contain similar verbiage, but not necessarily at the beginning of the Category Name, using this Operand with the Contact Category field will allow you to pull up all contacts who have been assigned one of those Categories.  As an example, let's say you've created Contact Categories for both Hot Prospect and Cold Prospect.  You could set up the following search to retrieve them all at once:

Equal To — Use this Operand when you want to pull up all records that have a specific Contact Category:

This search would display all contact records with a Contact Category of "Hot Prospect" in your database.


Greater Than / Less Than — these Operands will not return any results when used in Search with the Contact Category field.

Not Equal To — this Operand will pull up all contact records other than those with the Contact Category you enter in the Criteria box:

Is Empty (NULL) — This Operand will pull up all Contact Records for whom a Contact Category has not been assigned within your database:

Contact Categories for contacts can be entered from the Contact Details area of their record.

Note: with any of your Advanced Searches, you can create Tag Groups or Quicklists.  You also have many other options in terms of working with your search results.
