Advanced Search Field: Last Name

To run an Advanced Search within Redtail, click Search under your Contacts menu:

You'll then see an area where you can set up the parameters for your Advanced Search:

The Field menu presents you with a list of all of the fields within Redtail that you can set up a search for here.  In this post, we'll take a look at the Last Name field:

The Last Name field can only be used to search contact records with a type of Individual.  You would not want to use it when searching for Business, Association, Trust or Union records.

After selecting "Last Name" from the Field menu, your next selection to make is the Operand you want to use with it.  Your available Operands are:

  • Begins With
  • Like
  • Equal To
  • Greater Than
  • Less Than
  • Not Equal To
  • Is Empty (NULL)

We'll show examples of the types of results you might expect from each of these, along with what you might enter in the Criteria box to get at your desired results.

Begins With — Use this when you want to pull up a record for whom you know the beginning of their last name but not necessarily the end:

Results for this search might look like the below:

This type of search is most likely to prove useful for more common last names like this, where there are alternate spellings and you can not remember which spelling a contact uses.


Like — Use this when you want to pull up a record for whom you know a portion of their last name, but not necessarily the entire last name:

Note that it does not matter when using the Like Operand where in the last name the specified pattern falls, nor does it matter if the pattern is only part of a word.

This type of search is most likely to be helpful in situations where you can only remember a portion of a contact's Last Name.

Equal To — Use this when you want to pull up only records with a specific Last Name:

Results for this search might look like the below, if you had 13 contacts with the last name "Investor":

Greater Than / Less Than — these Operands are unlikely to be used often with the Last Name Field.  If you do use them, they will return results that are either greater than or less than your entered Criteria in terms of where they fall in an alphanumeric pattern.

Not Equal To — this operand is unlikely to be used often with the Last Name Field.  If used, it will pull up all contact records other than those who share the Last Name you enter in the Criteria box.

Is Empty (NULL) — Using this Operand with Last Name would only pull up your Business, Association, Trust and Union records, as they do not have a Last Name field.  Individual records can not be saved to your database without providing a Last Name.

Note: with any of your Advanced Searches, you can create Tag Groups or Quicklists.  You also have many other options in terms of working with your search results.
