Advanced Search Result Options

You can read more about Advanced Search in general here.  Typically you would be running an Advanced Search because you would like to perform some further action with your search results.  It may be that you want to create a Quicklist or a Tag Group.  Here we will provide a list and explanation of the options available to you in the Result Options menu to the right of your search results:

Prior to choosing from any of these menus, you'll want to place checks next to the contacts that you want included in your Output.  Tip:  If you want to include all contacts on your Advanced Search page, place a check next to "Name" above your first search result:

 

 

Now let's look at the different options available to you within each of these menus.

Labels

A post specifically on working with your Label options is here.  After you make your Label (or Envelope) selection, you should receive an option to open the document in Microsoft Word or to save the document.

Exports

A number of default exports are available to you here:

After making your Export selection, you will receive an option to open the file in Microsoft Excel or to save the file.  A little more information on this functionality is available hereYou can click here to download a spreadsheet listing what fields are included with each export.

Mail Merge

By default several Quick Envelope and Quick Letter options are available to you here. The other merge templates available in this menu will depend upon what you or other users of your database have uploaded for usage.  You can click here for instructions on creating and uploading mail merge templates.

Options

There are a number of actions you can initiate from this Options menu, so we'll cover them each in turn below:

  • Add to Seminar If you use the Seminar Management tool in Redtail, this option allows you to easily add multiple contacts to an existing seminar.  Additional details are here.
  • Add to Tag Group If you use Tag Groups, this option allows you to easily add multiple contacts to a Tag Group. Additional details are here.
  • Assign Keywords This option will allow you to assign a Keyword to your selected contacts in bulk. Additional details are here.
  • Broadcast Email If you would like to send an email to multiple contacts within your Redtail database, this option provides you with a method of doing so.  You can read about this in detail here
  • Bulk Checklist Assignment This option will allow you to attach a Checklist to multiple contacts at once.  Additional details are here.
  • Bulk Contact Category Change This option will allow you to change selected contacts' Category in bulk.  
  • Bulk Contact Source Change This option will allow you to change selected contacts' Source in bulk.
  • Bulk Contact Status Change This option will allow you to change selected contacts' Status in bulk.
  • Bulk Activity Entry  This option will allow you to add an identical activity to multiple contact records in bulk.
  • Bulk Note Entry In instances where you need to add the same Note for multiple contacts at once, this option will allow you to do so.  You won't see all of the fields that are available when adding a Note to an individual record, but you can enter your Note and assign it a Category.   • Bulk Permission Change  set permissions for multiple contacts at one time.  Details are here.
  • Bulk Referred By Change This option will allow you to change the Referred By field, located in a Contact's Details section, in bulk.  Additional details are here.
  • Bulk Servicing Advisor Change This option will allow you to assign a Servicing Advisor to selected contacts in bulk.  Additional details are here.
  • Bulk User Defined Field This option will allow you to assign a User Defined Field and Value to your selected contacts in bulk.  It also provides you with the opportunity to overwrite a value for the field you're assigning, if any of the selected contacts already have a value for that UDF.  Additional details are here.
  • Bulk Workflow Assignment This option will allow you to initiate a Workflow Process for multiple contacts at once.  Additional details are here.
  • Bulk Writing Advisor Change This option will allow you to assign a Writing Advisor to selected contacts in bulk.  Additional details are here.
  • Bulk Written Agreements Review Change - This option will allow you to change the dates for these reviews for multiple contacts at the same time.  Additional details are here.
  • Combine Selected Contacts If you find that you have multiple records for a contact, this option provides you a method of combining them
  • Create Marketing Library Document If you are a Marketing Library subscriber, you can send documents from Marketing Library to Redtail and merge in bulk for contacts here. Additional details are here.
  • Delete Selected Contacts This option allows you to delete multiple contacts from your database at one time.  NOTE:  Deleted contacts are accessible in your Recycle Bin unless you permanently delete them from that area.  More details are here.
  • Disable Birthday Reminders This options allows you to disable Birthday Reminders in bulk. More information is here.
  • Enable Birthday Reminders This options allows you to enable Birthday Reminders in bulk.  Additional details are here.
  • Send to Constant Contact If you have an account with Constant Contact, you can create an export here for import into your Constant Contact account.
  • Send to MailChimp  If you have an account with MailChimp, you can send contacts in bulk to one of your predefined MailChimp lists.  You can also elect to send them an Opt-In Email with this option. 

Reports

A number of default reports are available to you here:

After making your Report selection, you will receive an option to open the report in pdf format.  You can click here to download a spreadsheet listing what fields are included with each of these reports.

Custom Exports

The options available to you from this menu are based solely upon what Custom Exports your database users have created for use with Redtail.  You can learn how to create Custom Exports to make them available here.
