How do I assign activities to other database users?

One of the great things about Redtail CRM is that with a single subscription you are allowed to add up to 15 database users. What this means in terms of scheduling tasks, meetings, phone calls, etc., is that anyone who is a database user can create, monitor and follow up on activities that they create for another database user.

So, how do you assign an activity to someone else?

You can pull up the Add New Activity dialog from three locations:

  • From the Add link on your Dashboard Calendar:

  • From the Add Activity link in the Actions box on your main Calendar:

  • From the Add link in the Open Activities section of a contact's record:

Once you've used one of these methods to bring up your Add New Activity dialog, among the other fields pertaining to your activity, you should see an Assigned To section like the one below, where you can select different database users from the pulldown menu to whom to assign activities:


Note that by default the Assigned To box will contain the name of the individual who is creating the Activity.  If you want to assign it to someone else, you can select their name from that pulldown menu, complete the rest of the information and save the Activity.

Activities assigned to others will show up on their Today’s Overview page in the Calendar section as well as on their main Calendar.

Note as well that under Manage Your Account —> Change Site Preferences, in the Activity Management section you can elect to receive Email Notifications when activities have been assigned to you as well as when activities you have assigned to others have been completed:
