Dashboard: Today's Overview — Reminders

When logging into your database, the default login page is your Today's Overview page (which is otherwise accessible under Dashboard --> Today's Overview, or by just clicking on Dashboard):

There are several components to this page.  Here we'll take a look at the Reminders component on the right-hand side of the page:

Your Today's Overview page is designed to keep actionable items in front of you. The Calendar is a big part of that, but Reminders serve an important role, as they keep time-sensitive information in front of you that isn't necessarily reflected on your Calendar.

I'll break down the different available Reminders here to give you a better idea of how they work and where the data reflected in them is pulled from.

Account Renewals

In our example above, you can see that there are two Account Renewal Reminders currently displayed on this Overview page.  The number in parenthesis next to each of these Reminder categories indicates the number of reminders for each category. Click on any category to see the specific reminders for that category displayed in a grid on a new page. In this case, you would click the Account Renewal Reminders link to see those particular reminders, as well as an option to export the information to Excel:

For Account Renewal Reminders, you'll see the Renewal Date, the Account/Policy Number, Account Company and Contact Name.

Clicking on any of the column headers will sort your data in ascending or descending order, based upon the data in the column whose header you clicked.

Clicking on the down arrow that appears when you click on any of the column headers will present you with some additional options, including the ability to group your data by the field whose header your clicked the arrow within:

If you click the contact name, you'll be carried to the contact's Accounts page and can enter the Account (by double clicking) for more information.

If you click the Account Number, you'll be carried to the details page for that specific account, where you can update the renewal date or other pertinent information regarding the account.

Account Riders

In our example here, you can see that there is one Account Rider Reminder currently displayed on this Overview page.  Click the Account Riders link to see that Reminder, as well as an option to export the information to Excel:

For Account Rider Reminders, you'll see the Contact Name, Account Number, Account Company and Rider Date. Clicking on any of the column headers will sort your data in ascending or descending order, based upon the data in the column whose header you clicked.

Clicking on the down arrow that appears when you click on any of the column headers will present you with some additional options, including the ability to group your data by the field whose header your clicked the arrow within (see example under Account Renewals Reminders above).

If you then click on the contact name, you'll be carried to the contact's Accounts page and can enter the Account (by double clicking) for more information or to update the Rider information.

If you click the Account Number, you'll be carried to the details page for that specific account, where you can update the Rider information or other pertinent information regarding the account.

Birthday Reminders

If you enter a date of birth within a contact's record, their Birthday Reminder is enabled by default.  You can turn these Reminders on or off from the contact's Overview in their Contact Details section, which will determine whether or not Birthday Reminders show up for them on your Today's Overview page.  You can also set how early these display and how long they hang around in your Reminders - see the Reminders section of this post.

You can click the Birthdays link to see a list of all these reminders, a sample of which is below:

For Birthday Reminders you will see the Contact Name, Birthday, Birthday Info, and Servicing and Writing Advisors.

Clicking on a Contact Name will take you to the contact's overview page, where the Date of Birth is tracked in the Contact Details section:

 

Checklist Task Reminders

This database currently has six Checklist Task Reminders. You can click the Checklist Tasks link to  see all of these Reminders.  The resulting page will display the Contact Name, Action, Due Date, Status and Assigned To fields for each of these tasks:

Clicking on any of the column headers will sort your data in ascending or descending order, based upon the data in the column whose header you clicked.

Clicking on the down arrow that appears when you click on any of the column headers will present you with some additional options, including the ability to group your data by the field whose header your clicked the arrow within (see example under Account Renewals Reminders above).

Right-clicking anywhere within the row for a particular Checklist Task Reminder will present you with the option to change the Status of the item (or its Due Date):

Clicking on an Action (Task) Name will present you with an Update Checklist Task dialog, where you can edit some of the individual details of that particular Task:

Clicking on a Contact Name will take you to the contact's Checklists page, where you can see all open Checklists for the contact:

Right-clicking a Checklist on the contact's Checklists page (screenshot above) will present you with the options to Edit the Checklist name or description, Print the Checklist Tasks (PDF format), View the Checklist Tasks or Delete the Checklist.

You should also note (back on the Checklist Reminders page) that there is a Filters box which will grant you greater control as to what Checklist Tasks are displayed on this page:

Beneath this Filters box you'll find an option to send contacts displayed here to your Advanced Search page or to export these tasks to an Excel spreadsheet.

Client Review Reminders

You can see there are currently 34 Client Review Reminders in this example.  You can click the Client Reviews link to see all of these Reminders.  The resulting page will display the Contact Name, Next Review Date (overdue dates will be in red), Servicing Advisor and Writing Advisor for each of these contacts:

Clicking on a contact's name will take you to their main Know Your Client page, where you can then edit their Client Review information if necessary:


 

My Checklist Tasks

These work in the same manner as the Checklist Task Reminders described above.  The difference is that they only display those Checklist Tasks that are assigned to you.

 

Seminar Checklist Tasks

If you've attached a Checklist to a Seminar, reminders for tasks that are a part of the Checklist will show up here:

Clicking on any of the column headers will sort your data in ascending or descending order, based upon the data in the column whose header you clicked.

Clicking an Action will open up a View Seminar Checklist Tasks dialog, where you can edit an Action or delete it, as well as changing its due date, owner or status.

Wedding Anniversary Reminders

If you enter wedding anniversary dates for your contacts, they will appear here in your Reminders section.  You can see there are currently three Wedding Anniversary Reminders in this example.  You can click the Wedding Anniversaries link to  see all of these Reminders.  The resulting page will display the Contact Names, Anniversary Date, Servicing and Writing Advisors:

Clicking on an individual reminder will take you to the Overview page for the Family Head of this couple.

Workflow Reminders

This database currently has 55 Workflow Reminders.  You can click the Workflow Tasks link to  see all of these Reminders.  The resulting page will display the Contact Name, Workflow Process, Workflow Step, Due Date and to whom the step is assigned. Below is a portion of what you would see were you to click on the the above Workflow Tasks link:

If you were to click on a Contact Name in this reminders section, you'd be taken to the contact's Active Workflows page:


 

Right-clicking on a step in this area will give you three options:

 

 

Note as well that the Due Date for this Workflow step is highlighted in red - this indicates that the Due Date for this item has passed.
