How do I preserve archived emails for email addresses no longer in use?

If you subscribe to Redtail's Email Archiving service, at some point you're probably going to have a situation where one of your clients changes their email address. Then, the question will arise of whether you need to keep their old email address in Redtail in order for older archived emails to remain in their record.  The answer is yes.

There are four Type designations you can give an Email Address within a client record: Email 1, Email 2, Email 3 or Old Email.  After clicking add in the Internet Addresses section of a Contact Card, you'll see the Add Internet Address dialog, where you can select from the different Email Types:




You can see the four types I mentioned here (as well as Website 1 and Website 2 options).  So, you have Type designations for three current, valid email addresses to store for archiving purposes, as well as an unlimited amount of old addresses that you can designate with a Type of Old Email.  In either case, this will preserve the emails for those email addresses stored within the client record.

Note: to edit an existing address' Type within the Contact Card, just click its Type designation, and you'll see an "Update Internet Address" dialog where you can then easily change the Type.
